5 Customer Experience Reports Your Team Should Run Every Week
Most customer experience teams sit in one of two places. They either drown in dashboards that nobody reads, or they fly blind because nobody has the capacity to build proper reporting in the first place. The gap between those two states is where weekly reports should live, and almost no mid-market company gets it right. Done well, weekly CX reports turn raw customer feedback into a rhythm your team can actually run on, and they give leadership a reason to keep funding the work.

The problem with most CX reporting is that it either shows too much or too little. A 40-tab dashboard that requires a meeting to interpret is not a report, it is a graveyard. A single NPS number in a monthly slide deck is not a report either, it is decoration. A useful weekly report sits between those two extremes. It answers a specific question, fits on one screen, and points to an action.
The five reports below are the ones I keep seeing show up in CX teams that actually move metrics. They are not the only reports worth running, but if your team is only going to produce five things every week, these are the five. Each one answers a different question, each one has a clear owner, and each one is designed to be read in under two minutes.
1. The review volume and distribution report
The first report answers the most basic question: how much are customers saying this week, and where are they saying it? It tracks total new reviews across every platform you care about, split by source, with the week-over-week change, average rating per source, and the overall weighted average.
People underestimate how much this report tells you. Volume patterns are operational signals. A sudden spike in Google reviews after a product launch, a slump in Trustpilot volume after your email campaign got paused, a surge on Amazon after a bad batch shipped. The numbers themselves are rarely the story. The delta is the story.
The other thing this report catches early is platform drift. A lot of mid-market teams still treat Google as the only platform that matters because it is the one they look at manually. Then Trustpilot volume doubles over six weeks because a competitor started a campaign and their customer service team didn't notice. A simple volume-by-source table with a sparkline per platform kills that blind spot.
Keep the format boring. A table with source name, new reviews this week, new reviews last week, average rating this week, average rating last week, and a delta column. Annotate anything that moved more than twenty percent in either direction with one line of context. That context line is where the report earns its keep.
2. The theme and sentiment shift report
The second report answers the question that matters more than volume: what are customers actually talking about, and is the tone changing? This is where most teams fall down, because doing it manually is genuinely hard work. Reading fifty reviews to extract themes takes an hour. Reading five hundred is not realistic.
A proper theme report groups reviews by topic, shows how often each theme appeared this week versus last week, and flags sentiment shifts within a theme. The interesting finding is almost never the top theme. The top theme is usually the same one every week, something like "customer service" or "delivery". The interesting finding is the theme that moved.
A real example from a retail chain I talked to last year: their top theme was unchanged for six months, standard stuff about staff friendliness. What moved was "app not working" appearing in negative reviews. It had been a minor theme for a year, then it doubled over three weeks. Their engineering team had shipped a silent update that broke sign-in on older Android versions. They caught it in a weekly review report before it showed up in support tickets, because the kind of customer who leaves a review rarely bothers to open a ticket first.
For this report to work, the theme classification needs to be consistent week over week. If your themes shift around because a human is tagging them differently each time, you cannot spot drift. This is one area where AI classification is not optional at scale. Even if a person reviews the output, the initial pass has to be automated and stable, or the whole report is noise.
Limit the output to the top ten themes plus any theme that moved by more than a defined threshold. Fifteen themes is a readable report. Sixty is a data dump.
3. The location or product breakdown report
Averages lie. A company-wide 4.3 rating can hide a store with a 3.1 that is bleeding customers, or a SKU with a 2.7 that is destroying your margin through returns. The third report breaks the aggregate number down by whatever operational unit actually matters for your business: store location, region, product SKU, service line, or agent.
The usual failure mode here is scope. Teams try to show every location on one page and end up with a 200-row table that nobody reads. The better approach is to show only outliers. List the bottom five and top five, the five that moved the most since last week, and anything new below a defined threshold. Everything else goes in a supplementary appendix that the curious can click into.
Thresholds matter more than rankings. A location at 3.8 is not an emergency, but a location that dropped from 4.4 to 3.8 in a month is. A location that has been at 3.8 for two years is a different conversation than a location that just landed there. The report should make those two cases look different.
Ownership is the other thing this report forces. If you have fifty locations and nobody owns the numbers for each one, the report will be read sympathetically and ignored. Pair the location with the name of whoever is responsible for it, and make sure each one knows they are on the list. That is usually where CX reporting meets operational accountability, and where it stops being a marketing exercise.
4. The response rate and response time report
The fourth report is the least glamorous and often the most valuable. It tracks how many reviews you are responding to, how fast, and where you are falling behind. Response rate and response time are not just customer signals. On Google and Trustpilot, they feed into how your profile ranks in local and category search. On Amazon, public responses to product reviews affect conversion directly.
The baseline to look at is response rate broken down by star rating. Most companies respond well to five-star reviews because the praise is easy. Many respond to one-star reviews out of reputational fear. Two and three star reviews get ignored, which is the opposite of what you want, because that is where customers are still persuadable. A customer who gave you two stars is telling you exactly what to fix. A customer who gave you five stars has already made up their mind.
A good report shows response rate, median response time, and longest-waiting unresponded review, broken out by platform and by rating band. Add a column for "reviews older than seven days without response", and put that number at the top of the report in bold. That one number is the single best way to keep response discipline from drifting.
Benchmarks vary by industry. Hotels tend to be in the 60 to 80 percent response rate range, retail is usually lower. Whatever your starting point, the goal is not to hit a specific number, it is to reduce the oldest-unresponded-review age every week. If that number is growing, nothing else in this report matters, because the team is losing the battle.
5. The competitor benchmark report
The fifth report zooms out. Your ratings and volumes are meaningless without a reference point, and the most useful reference point is almost always your direct competitors. Public reviews on Google, Trustpilot, G2, Amazon and similar platforms are fair game, and the data tells you things your own reviews cannot.
A minimum version of this report shows, for each of your top three to five competitors, their average rating, review volume this week, top themes, and sentiment trend. Compare side by side with your own. If a competitor is suddenly getting a spike in negative reviews around a theme that also appears in yours, that is a category-level problem, not a company problem, and your response strategy changes accordingly. If a competitor is pulling ahead on a theme where you used to lead, that is a product or operations signal worth acting on.
This is the report that most surprises first-time readers in executive meetings. Leadership tends to have a mental model of the competitive landscape shaped by press releases and sales conversations. The reviews tell a different and usually more honest story. A competitor who looks dominant in the trade press might be hemorrhaging customers over pricing changes. A quieter competitor might be quietly winning the segment you care about.
The usual objection to this report is that it is hard to build. Scraping and normalizing competitor reviews by hand is a lot of work, and most teams either give up after a quarter or end up with a stale quarterly export instead of a weekly live view. This is the area where tooling makes the biggest practical difference. Turning five reports into a rhythm
Having five reports is not the same as having a reporting rhythm. The reports have to land in the right inboxes, at the right time, in a format people actually read. That is where most CX reporting dies, somewhere between "we have the dashboard" and "leadership acts on it".
A few principles that tend to work. Reports should be pushed, not pulled. Nobody logs into a dashboard on Monday morning to check how things went last week. They read their email. A short, scannable summary with a link to the underlying detail is almost always more useful than a beautiful dashboard that requires a login and a mouse. The stakeholders who need to see this do not want to become power users of your tool, they want the answer.
Different reports go to different people. The volume report is for the CX lead and their direct team. The theme report is for the CX lead, product, and operations. The location report is for regional managers and the COO. The response report is for whoever runs the support or community team, and it should not go higher up unless the number is moving in the wrong direction. The competitor report is for the executive team and product leadership. Sending all five to everyone is a good way to get all five ignored.
Automate everything that can be automated, and resist the urge to annotate every single report every week. Save the commentary for the weeks when something actually moved. A report with one sharp line of context at the top ("Shipping complaints up 40 percent this week, tied to the carrier switch on the 12th") is read and acted on. A report with three paragraphs of hedged analysis is scanned and closed.
If you are running all of this manually in spreadsheets today, the reports described above will take a full-time person around two to three days a week once you include the data collection, classification, and formatting. That is feasible at small scale and untenable once you are pulling reviews from more than three or four sources.
